Five processes Náutica used to run by hand, now automated by a platform.

Bookings, payments, confirmations, reminders and availability: once split between an external tool, Excel and invoices made with ChatGPT. Today, one system that runs itself.

“I measure performance against the time spent on booking control, schedule control, checking off bookings, payment methods, and reviewing bank statements.”

The problem

Náutica Watersports runs watersports experiences in Gandía and Altea: jet skis, boats, banana rides, buggies.

Until April 2026 its operations lived scattered across tools that didn't talk to each other. Bookings, in an external tool. Payment control, in Excel. Invoices, written by hand with ChatGPT. Every client query meant cross-checking information between them and trusting that someone had updated the sheet.

The previous booking software (Turitop) had cost them between €1,500 and €2,000 in three installments, and was, in Mauro's words, a calendar control and little more.

And there were things it simply couldn't do. When a jet ski went into maintenance, there was no way to pull it from availability. The system kept offering it anyway.

“Everything is unified in the same place. I don't have to keep 20 tabs open. It's very comfortable to work like this.”

— Mauro, Náutica Watersports (translated from Spanish)

What we built.

A proprietary platform bringing together the public site, the booking engine and the business's day-to-day management.

Booking engine with online payment

The client sees only the slots that are truly free, picks one and pays. For the team, a booking made at three in the morning is exactly as much work as none at all: the system has already checked capacity, assigned the machine and logged the payment.

Payments unified with bookings

Every booking shows how and when it was paid. It used to mean logging into the bank and cross-checking transactions against bookings, one by one.

“When I need to issue a refund, I can see right away what time the original payment went through. I go in with the booking code next to it and the refund takes two seconds.”

Translated from Spanish.

Automatic invoice generation and delivery

The data is already on the booking. The invoice is generated and goes out at once to the client, the accountant, and the folder where Mauro files them. It used to mean drafting them by hand, one at a time.

“The moment I generate an invoice, it's already reached the accountant, the recipient, and the folder where I organize my invoices.”

Translated from Spanish.

Login access for collaborators

Bachelor-party companies and activity organizers get their own login. They sign in, see real availability, and book or change things without calling anyone.

“A company used to call me five to ten times: hey, do you have a slot? Now they see it themselves and I don't have to worry about it.”

Translated from Spanish.

Real-time fleet control

Every machine has its own status. If a jet ski goes into maintenance, it's flagged and disappears from the site instantly. Nobody sells something that can't be delivered.

Daily cash close

Cash control is handled right inside the platform. At the end of the day, one click and the day is squared away. It used to be jotted in a notebook, with unexplained discrepancies of a few euros showing up from nowhere.

How we did it
  1. Step 1

    Standing up what makes money

Thirteen days from kickoff to the site already accepting real bookings from clients.

  2. Step 2

    Day-to-day operations

Real-time availability, calendar, machine assignment, and manual booking entry for the ones that come in by phone or at the counter.

  3. Step 3

    Payments, comms and numbers

Payment gateway live in production, invoicing module, automatic confirmations and reminders.

From there, the platform kept evolving through the whole season, with the business already running on top of it.

The journey of a booking

Before, every task was done twice. The booking in an external tool, the payment in Excel, invoices handwritten with ChatGPT. And then the real work: checking that it all matched up. Every change and every refund had to be noted in several places, trusting the sheet was up to date. The cost wasn't just the time spent recording it, it was the time spent reconciling it.

Now every task happens once, from the same screen. The client books against real availability, the platform assigns the free machine, charges through Redsys and keeps the payment tied to that booking. The confirmation to the client and the alert to the business go out instantly, and the reminder before the activity is scheduled automatically. Nobody touches anything.

Cancelling was the easy part: what came after was the hassle. Refunding the money through the payment gateway, noting it in Excel and checking it matched the cancelled booking. Now it's cancelled from the booking record, the slot goes back on the calendar and the refund is logged right there. Nothing to note anywhere else.

Invoicing is one click: the booking data is already loaded, the PDF is generated and sent without leaving the platform. No more drafting them by hand one at a time.

And if a jet ski goes into maintenance, it's flagged and disappears from the site instantly. It used to keep showing up as available.
